Reservation Terms: This signed agreement and deposit are due prior to securing the

reservation. See below for deposit forfeiture policies.

Linens Rentals

Linens are available for rent at $10 each.

Coffee urns/carafes and hot water kettle are included in the rental as are tables and chairs. Please rinse coffee urns/carafes in kitchen sink after use.
*Please remember to bring your own tape, scissors, string, plates, cups, utensils, napkins, ice, coffee/tea, and other beverages.

Building capacity is 278 people.
No open flames allowed.
No helium balloons allowed in the great room due to ribbons getting caught in fans, destroying the fan motors. Helium balloons are allowed in the other areas of the building as long as they are secured with weights.
If alcohol is to be served, please submit a CERTIFICATE OF GENERAL LIABILITY INSURANCE in the amount of $2,000,000.00 naming the City of Silverton as the additional insured at the event address: 115 Westfield Street, Silverton.

Deposit and Cancellation

Deposit

The rental is not confirmed until the deposit is received. The deposit is refundable, provided there is no damage to the facility and all areas are left in the same condition as it was before the event. Refund of deposit is based on the final walk-through of the facility with the designated representative of the Silverton 50+ Center.

Cancellation

If the rental is canceled within 8-14 days prior to the event, one-half of the deposit will be forfeited. If cancelation occurs within seven days prior to the event, the entire deposit is forfeited.

Silverton Area Seniors, Inc. (SASI)

Kitchen Requirements

Renters of the Kitchen MUST provide their own dishes, pans, utensils, and cleaning supplies.

The following MUST be performed when finished using the kitchen:

  1. Floor swept and mopped – brooms and mops are located in the closet near the exterior door of the kitchen – do not leave a wet mop in the bucket, wring it out first
  2. Counters wiped down – rags are in the janitor closet
  3. Garbage taken to the dumpster – garbage liners are in the janitor closet
  4. All renter’s food removed from the refrigerator and freezer
  5. Appliances cleaned
  6. Sinks wiped out
  7. Any spills cleaned up, mopped up

Closing Instructions

  1. Remove all personal items from the building.
  2. Wipe down all tables, chairs, and counters with warm soapy water.
  3. Return all furniture, tables, and other furnishings to their proper positions.
  4. Black chairs are stacked 12 high on rolling dollys. 4 dollys fit in the storage closet against the wall and a fifth fits in the closet in front of the shelving unit.
  5. Sweep the floors in the great room, kitchen, bathroom, and hallway to the bathroom. Spot mop where needed.
  6. Be sure that messes have not been made in the bathroom on the counters, toilets, or urinals. Leave a note on the front desk if toilet paper or paper towels need to be restocked.
  7. Turn off all lights. Entry lights are motion sensored and remain on.
  8. Take all trash out to the dumpster across the access road. Replace garbage can liners. Different sized liners are in the janitor closet.
  9. Make sure all doors in the rear of the building are shut and locked, even if you did not use them.
  10. Make sure all of the windows are closed.

Professional Services Policies

Policies

All professionals and vendors are required to have the Executive Director’s approval and must have proof of liability insurance coverage.
Workshops or Informational Lectures:

  1. A professional may give a presentation to provide information and/or education at no cost to the members.
  2. Presenters may set follow-up appointments with members outside of the Center, but may not sell their services or products at the Center.

Professional Services or Vendors:
For those that do not want to rent the space, or if they are providing services in the main hall. Those performing their services and or selling their products at the Center may have an electronic sign up sheet for appointments.

  1. Financial costs must appear on the appointment sheet.
  2. Payments are made directly to SASI DBA Silverton 50+ Center.
  3. Within two weeks from the end of the month, the SASI Treasurer will issue a check to the vendor or professional for 60 percent of the monies taken in during the month.
  4. Members/visitors in the Center for other activities may not be solicited to fill open appointments.
  5. Set up and take down of tables and chairs is the responsibility of the vendor.

Exercise, Fitness, and Informational Class Policies

Policies

There shall be a standard contract between the Silverton Area Seniors, Inc (SASI) and all its vendors/instructors. It shall state the time frame, terms, conditions, and cost of all work done.

Instructors of all classes will submit an invoice to the Executive Director and payments will be made within 15 days of the Executive Director receiving the invoice.

At the time of signing the contract, all vendors/instructors will be given a W-9 form, which they must fill out and return. Each vendor/instructor will receive a 1099 form during January of each year for tax purposes.
Exercise and Fitness Classes

Instructors will be selected by the Executive Director. The Director will negotiate the class schedule and terms of payment with the instructor, and will secure the agreed- upon terms on the Service Provider Contract form.

If the instructor is unable to conduct a class, it is understood that a substitute will be provided by the instructor. The instructor is to work out terms of payment to the substitute for classes covered.

Informational, Paid-for Classes

These classes include, but are not limited to subjects such as, smart phones, computer, arts, and crafts.

These classes will fit the interests of the membership while fulfilling the Center’s Mission statement.

Classes will be selected and arranged by the Executive Director, who will also negotiate the terms of payment with the instructor.

Instructors of these classes will set up the room as appropriate for the class and return the room to its original condition at the end of the class. Any damage that occurs during the class will be reported to the Executive Director as soon as possible.
